Privacy Policy
This Privacy Policy explains how MentionGo ("we", "us") collects, uses, discloses, and protects personal data in accordance with the Personal Data Protection Act 2010 of Malaysia ("PDPA"). By registering for or using the platform, you consent to the processing described below.
1. Data controller
MentionGo is the data controller for personal data processed through the platform. You may reach us at support@mentiongomy.com for any matter under this policy.
2. Personal data we collect
- Account data: name, email address, Bar number, firm affiliation, and role on the platform.
- Verification data: your Sijil Tahunan (Annual Certificate) and related practising credentials.
- Matter data: court hub, hearing dates, case category, brief notes, and appearance outcomes.
- Document data: files you upload, including certificates, briefs, payment receipts, and Affidavits or Statements of Service.
- Payment records: proof of transfer between the instructing and attending solicitors. We do not process card payments or hold client money.
- Technical data: IP address, device and browser type, and usage logs necessary to secure the platform.
3. Purposes of processing
- To verify your eligibility to practise and to administer admission to the network.
- To operate the Mention-on-Behalf and Service of Documents workflows, including matching, notifications, and the matter record.
- To mediate disputes and administer the three-strikes conduct system.
- To comply with legal and regulatory obligations in Malaysia.
- To communicate administrative notices about your account and matters.
4. Disclosure
Your personal data is disclosed only to: the parties on the same matter (for example, the accepting advocate sees the court hub, hearing date, and brief); platform administrators acting in their verification and dispute-resolution roles; and service providers who host the platform under contract. We do not sell personal data, and we do not use matter documents for any purpose other than operating the matter.
5. Storage and security
Uploaded documents are stored privately and served only through expiring signed links. Access is limited to the uploader, the matched party on the matter, and administrators. Before a matter is posted, you must confirm that client-identifying details not required for the appearance have been redacted. We retain personal data for as long as your account is active and, after closure, for the period required by law or for legitimate record-keeping.
6. Your rights
Under the PDPA you may request access to your personal data, request correction of inaccurate data, withdraw consent to further processing (which will end your use of the platform), and ask about how your data has been used. Write to support@mentiongomy.com; we respond within the period prescribed by the PDPA. You may also lodge a complaint with the Personal Data Protection Commissioner.
7. Cookies
The platform uses strictly necessary cookies and equivalent storage to maintain your sign-in session and secure the platform. We do not use advertising or cross-site tracking cookies.
8. Changes to this policy
We may update this policy from time to time. Material changes will be notified to registered users by email or through the platform before they take effect.
